Check what Capital One gives you first

A file straight from your bank will always be more accurate than one reconstructed from a PDF, so it is worth two minutes to check before converting anything. Capital One offers CSV download of transactions, covering 90 days, which is the shortest of any major US bank. If the period you need sits inside that, use it and skip this page.

Capital One has the tightest CSV window of the major US banks at 90 days. That is one quarter. Anyone doing a tax return, a mortgage application or a year-end reconciliation is asking for more than that on the first attempt, and the answer for everything older is the PDF statement. The seven-year PDF archive is generous; it is only the spreadsheet export that is short.

Downloading the statement from Capital One

Statements live in the Statements tab on the account page in Capital One online banking, and the online archive runs to seven years at the time of writing. Pick the period you need and download the PDF rather than printing to PDF from a screen, because a printed screen loses the transaction table structure the converter reads.

If the account has been closed, or the statement was forwarded to you by someone else, you will not have online banking access at all. That is the most common reason people end up converting a PDF: it is the only copy that exists.

Converting it to Excel or CSV

  1. Upload the Capital One PDF to the converter above. Several months in one file is fine, and so is a JPG or PNG if all you have is a scan or a photo. Password-protected PDFs work; enter the password when prompted and it is not stored.
  2. The pages are read, with OCR where the statement is a scan rather than text.
  3. Check the transactions on screen against the statement before you download anything.Capital One statements typically carry Transaction Date, Posted Date, Card No., Description, Category, Debit and Credit.
  4. Download the CSV and open it in Excel, Google Sheets, Numbers or LibreOffice, or import it into QuickBooks, Xero, FreshBooks or Sage.

Your first conversion runs without an account. A free account adds 7 free pages, and the monthly plans are priced by page count if you are working through years of statements or several clients.

What happens to your Capital One statement

Uploads travel over a 256-bit encrypted connection. There is no long-term file storage: the statement sits on the server only long enough to be read and is deleted 24 hours after upload. Conversion is fully automated, so no member of staff opens it, and nothing goes to a third party. The full privacy policy sets out the detail.

Reading a Capital One statement once it is in columns

Capital One statements, particularly on the card side, carry both a transaction date and a posted date, and the two regularly differ across a month boundary. A December purchase posting in January lands in the January statement, which is the single most common cause of a reconciliation being out by exactly one transaction. The card number is included per line on combined statements, so a household with several cards on one account can split the file by card once it is in a spreadsheet, which is impossible to do quickly in a PDF.

Who converts Capital One statements, and why

The 90-day CSV cap is the shortest of any major US bank, so almost anything beyond current-quarter bookkeeping ends up going through the PDFs. That means annual expense claims, tax preparation, and disputes where you need to show a spending pattern over a year rather than a single charge. Capital One's heavy card business also means a lot of what gets converted is credit card rather than checking activity, which reconciles against receipts rather than invoices.

Capital One statement converter FAQs

How do I convert a Capital One bank statement to Excel?

Download the statement PDF from the Statements tab on the account page in Capital One online banking, upload it to the converter on this page, check the transactions it pulls out, and download the CSV. Excel opens a CSV natively, so you can save it as .xlsx from there if you want the native format. Your first conversion does not need an account.

Does Capital One let me download a statement as CSV or Excel directly?

Capital One offers CSV download of transactions, covering 90 days, which is the shortest of any major US bank. If what you need falls inside that window, use it, because a file straight from your bank will always be the most accurate. A converter is for everything outside it. Check your online banking, since banks change these limits.

How far back do Capital One statements go online?

Seven years, at the time of writing, available from the Statements tab on the account page in Capital One online banking. That archive is PDF, which is the gap a converter fills.

Can I convert a scanned or photographed Capital One statement?

Yes. Scanned PDFs, JPG and PNG files all go through OCR, so a statement that was printed and scanned back in works, and so does a clear phone photograph. Use the original PDF when you still have it, since text-based PDFs are read directly and tend to be the most accurate.

Is it safe to upload a Capital One statement?

Uploads travel over a 256-bit encrypted connection, and the file is deleted from our servers 24 hours after upload. Conversion is fully automated, so no member of staff opens your statement, and nothing is passed to a third party.

What columns will the converted Capital One file have?

Capital One statements typically carry Transaction Date, Posted Date, Card No., Description, Category, Debit and Credit. The converter maps those into spreadsheet columns, so the output matches the shape of the statement you uploaded.

The converter is not working from a list of banks, so any statement will upload. These pages cover the export limits and statement archives bank by bank.
